Intermitten vm to email issue

I have a client running 6.1.3.28
They are having some vm to email that are not coming though.
I found an example of two vm that were sent back to back and the second one didn't work. Can someone point me in the direction of what might be causing this?

Here is a copy of what I found. I have removed the email addresses.

Is the issue happening with a particular extension, or all extensions?

How often does the issue happen? 

Does the issue happen with voice messages over a certain length?

Does the issue happen only at certain times of day or days of the week?

Can you reproduce the issue, and if so, how?

They called last week and said nobody was getting vm to email. So we changed the email password and it connects and sends emails.

Then I got the message from them that "some of their people" aren't getting messages on Tuesday afternoon.

No clear idea when it's happening and all of my test vm to email work.
Even looking at the logs I see only a few failures on random accounts, some on the same account in the middle of the day when all the other messages work properly.

Seems to be random times of the day. Or I am just not getting enough data to prove when it's happening.

So you are using GSuite / Gmail for your employee email it looks like.

Maybe it's time to post on the GSuite forum as well, with the error message you provided due to what looks like intermittent authentication errors.

Is this the same error message in the logs you are getting in other cases when people are not getting voice mail notifications from email?   You really want to pin down your users to record exact details when the issue happens:  date, time, the phone number the call was from perhaps.  Their vague information about missing some voice mails is not enough. 

How do they know emails are missing if they don't get them?  Is there a separate copy of voice mails in the Mitel phone system?   Or is that based on callers telling your employees that a voice mail was left?

What type of Email Synchronization are you using? Forward and Copy or Enhanced Integration?

What is the SMTP server you are connecting to? smtp.gmail.com or aspmx.l.google.com or smtp-relay.gmail.com?

What port are you trying to connect to?

They are using forward and copy. I was unable to get the Enhanced Integration working with the two factor authentication.

Using smtp.google.com

Port 587


All the times I could find have the same issue. The customer is identifying the issue based on the message left on the phone and not in their email.

Could they be hitting the 2000 e-mail limit? Why not use the aspmx.l.google.com with port 25 instead of smtp.google.com?

I can't think of a good reason not to use the different server. I just used the ones the IT guy told me to use.

This system had a power failure on Thursday and everything seems to be working correctly now.

Did you ever get anywhere with this?  We are kind of experiencing the same thing, but we use Office365.  Intermittently, maybe 1 in 10 times, someone will leave a voicemail, and my user will NOT get an email of the voicemail.  Can't find any reason why.  How do I view the log that you previously referenced?  We are also using Forward & Copy.

Under the System Administration & Diagnostics client you can connect to the system and then hit arrow down to show all of the tabs. By default the Favorites tab has the System Information box and within that box is the View Logs button. Once you view the logs look for the mail log and that is where you will find your information.

Currently my SMTP server is set to outlook.office365.com.  I am going to review your recommendations from the other thread about what SMTP server address to use and we will see if that resolves.

I've had the same issue a number of times. Something to do with the way the system authenticates to multiple servers. Depending on what server it hits when trying to send the message...works with one server but fails on the next. Mitel support can correct by SSH'ing in to the OS and making a change. Takes less than 5 minutes  and never an issue again for that system

Well, I have switched my smtp server to {myprimarydomain-com.mail.protection.outlook.com} but unfortunately now I am seeing this error:

Interesting comment about Mitel needing to ssh and make a change.  My concern there is how to I relay that in a way that makes sense to my reseller so they can relay it to Mitel and find the right person that knows whatever fix needs done.  Do you know any more specifics on what the change is that they had to make to resolve?
